Some of the extras you can get with your board includes a "secrecy" switch. This feature prevents an operator from listening in if a customer has already picked up his phone and answered the call, but it does not prevent the customer from picking up his phone after the operator has answered. The customer could by request the operator to hang up and conduct whatever conversation he wants with the caller. Another feature is the "position-splitting" key. This involves plugging in a second headset and simply turning the key to enable two operators to work the same board during an especially busy period. When your customers want to call to check with you for any messages, you can have them call their own number if they're calling from a different number, or pre-designated trunk line. Most answering service owners equipment works both ways until they decide upon the system that works best for them. Whichever method is finally chosen should be decided upon with the efficiency of the operators in mind. In addition to your switchboard, you should install a time clock and message racks. These are ideally located above or on top of your switchboard. The operator the takes the call, jots down the message, punches the time clock and quickly slips it into the customer's message box. When the customer calls in for his messages the operator retrieves the messages from his message box, reads them to him, again punches the time clock with each message slip, and drops them into a "dead message" box. You should keep these message slips for totalling at billing time, so it's a good idea to have each operator file them in your customer folders as they finish their shifts on the board. retention of these message slips for at least 30 days is not required, but it is a good policy to practice. You may find a customer will want to check on a message received or double-check his billing against your records. Basically your message rack can be either pigeon hole compartments in a wooden box designed and built to fit your space, or a lazy Susan clips similar to what restaurants use for fast food orders. At any rate, you shouldn't have any problem in finding what you need on the open market. It isn't necessary that you have specially designed or printed message slips, but you should have a plentiful supply available and within easy access to your operators. Simple 4 x 5 inch pads should be all you'll need, and if you'll check with your local quick print shops, you'll find most of them willing to make a thousand or so pads of 50 to 100 pages each, from scrap paper, for almost next to nothing. Another essential to plan on--buy in wholesale lots and keep handy for your operators--is pens. It may be exasperating until the business is on a sound profitability basis, but in a busy month, one operator can easily go thru 100 or more pens. Don't fight the how's and why's just charge it up as a business expense and order more pens. You'll need some form of maintaining basic customer information such as address, name and number to contact during an emergency and any special answering instructions. For this, simply go with 3 x 5 or 4 x 5 index cards and place them in each customer's message slot for easy operator reference. Many services have these cards laminated in plastic to prevent them from getting dirty or deteriorating with constant use. Efficiency is the name of the road leading to profits in any small business, so when you begin one switchboard, make sure you have that position-splitting key, and that you balance the board. In other words, don't put all of your similar customers--such as plumers, electricians and doctors on one side of the board. Instead, divide them across your board--half on them on one side and half on the other side. This will enable you to put two operators on that board in times of emergency. Your customer lines must be distributed according to usage across the board for maximum efficiency of your operation. Each time a customer "signs" for your services you should have him sign a simple contract that specifies the name and address of the firm to be billed for the service, and typed name as well as signature of the person authorizing the service. There should also be space on this contract for alternate phone numbers, names and addresses as well as phone numbers of persons to contact in case of emergency, and any special answering instructions the client may want you to use. Don't forget to include a clause requiring 30-day notification of service cancellation by either party to the contract. It's also a good idea to state that a full month's payment must be made for any partial month's usage, in order to cover any disconnect charges. You'll probably want to stipulate that the last month's base charges are to be paid at the time of service approval, in order to enhance your working capital situation. Check with the phone company--find out if they or you are to bill the customer for hook-up charges, and the line into your switchboard. In my time as a sales director in the IT industry I spent a lot of time and effort trying to understand why we won and lost business, with most of the effort on the latter. In sales reviews, reading lost business reports and raking over the ashes with ex customers I compiled a comprehensive list of reasons. Top of the list was price! “The competition offered a lower price, bought the business or gave more for the same” were the usual suspects. Next was product, “they had this widget, or used newer technology or had a better roadmap for the future of their offering”. Hard on the heels of these compelling reasons was “they went over the IT managers head, blew him out of the water and changed the basis of decision”. Other reasons included “they had a better unique selling proposition (USP) than us”, i. e. our marketing people are useless; “the customer has decided to write the software as they have people with little to do” and of course “they have decided not to progress the project as they don’t have the budget”. One day one of my best sales people came to me and said he had just lost a piece of business. Out of morbid curiosity I asked why and checked my trusty list of reasons. To my surprise he came out with a reason I had never heard before. “I was outsold, their guy was better than me”. This unprompted piece of honesty caused me to amend my list; I crossed out ‘reasons’ and replaced it with ‘excuses’. Exploring this situation further, our offering was competitive in every area so the classic excuses were not relevant in any case. What was relevant though was the competition’s sales person; he was their USP, because he added more customer value during the sales process. This was a really interesting lesson and led to another question. Why would this sales person adopt a very open position, when others blamed third parties? The answer was quite simply confidence. Unlike many of his colleagues he did not suffer from the fear of failure (or the sack) as to him losing was a lesson to learn from, not a disciplinary issue. There are a few practical steps that can be taken to increase the confidence of your sales people and reduce the incidence of lost business. • Firstly create an environment where the fear of failure is reduced and that engenders honesty. In turn this will help reveal the real reasons for failing to win business. • Ensure that these causes and how to resolve them are written into the sales person’s development plan and are followed up by the individual and their managers. Make sure the rest of the sales team know and that they learn from it. • Celebrate success; speaking to companies and individuals this is something which seems to have got lost in today’s business world. Success is infectious and builds confidence in individuals and sales teams. People will always lose business, it is not a crime. As a child, some of my friends secretly poked fun at the other kids in the neighborhood walking down the street and I told them to stop. If you feel that someone has said or done something behind your back or even to your face, it still isn’t a very good practice to treat them badly or keep ignoring them. The Bible warns that it is not right to judge people: Therefore thou art inexcusable, O man, whosoever thou art that judgest: for wherein thou judgest another, thou condemnest thyself; for thou that judgest doest the same things. Romans 2:1 I feel God is trying to say that we shouldn’t judge others because we, in turn condemn ourselves because we are not perfect. We sometimes have done the same things…in other words I would be an utter hypocrite to judge someone! The Bible goes on to talk about grudges: Grudge not one against another, brethren, lest ye be condemned: behold, the judge standeth before the door. (James 5:9). For I know nothing by myself; yet am I not hereby justified: but he that judgeth me is the Lord. 1 Corinthians 4:4. The only one who can judge us is the Lord. He knows the situation completely, inside and out! Much more thoroughly than what we are capable of seeing. So the next time somebody holds a grudge or accuses you of something, don’t take revenge or get upset. Try to forgive and pray for them, and pray for God to give you the strength to stay strong. Don’t let the situation keep bothering you to the point that you never let it go. Once you do forgive them, you’ll feel much better and you can get on with your life the way the good Lord intended.

Now, correcting this thinking may not happen overnight. But if you become mindful of your all-or-nothing thinking then you can correct it little by little and get the anxiety and stress relief you are seeking. Here is an example of this all-or-nothing thinking. Let's say that your stress is the result of you not being able to finish all the tasks on your to-do list. I am often guilty of this. It is used to tell the audience what you want them to understand from it. • we can signpost the whole talk when we start: "I'd like to do three things this morning. First, I'd like to look at our current position; then our plans and finally, the costs." • we can signpost a sub-point: "My second area is to look at plans. First, this year's; then next year's..." • we can signpost any issue: "Let me give you an example of what I mean..." • we can signpost the end: "Just one more point before I finish..." Audiences appreciate signposting because it helps them know where they are. 5. Use Jokes To Build Rapport. Jokes are a way of amusing an audience while at the same time sharing something with them. The point of contact is the shared laughter. If a joke works it brings you together; conversely, if the joke doesn't work, it pushes you apart. Jokes need to be appropriate, well-presented and, of course, funny. A blue joke from the Rugby club dinner speech probably won't work well at the annual conference of the Women's Institute.
Equally a joke told badly where you miss your timing, tell it too quickly or forget the punchline is worse than no joke at all. This joke told by Patrick Forsyth seems to catch the mood of a farewell speech: "I remember the day after Nigel joined us and overhearing the impression he'd made on two young ladies from Accounts. "Doesn't that Mr Green dress well," said one. "Yes," replied the other. "And so quickly." 6. Pause For Maximum Effect. Some of the best moments in a speech are, surprisingly, those moments when you stop. Knowing when to stop is the art of the creative pause. It can work for you in a number of ways: • to tease the audience, perhaps after a provocative question: "I bet you'd like to know how you could make a million..." • to pause before the punchline of a joke • to wait for an audience to settle after laughter or a general discussion • to give the audience time to think (for example, when looking at a new overhead) • to show you're in total control by holding the pause just slightly longer than you need to. 7. Show Don’t Just Tell. Turning a simple presentation point into a narrative or story can entertain and involve the audience on a different level. It is a way of showing them not just telling them.
